Phone notes (scenario summary)
The first thing Sophie does when a customer calls is to open a basket she created for phone notes by pressing a shortcut key. Then she creates a new page and in it a new contact note, and fills in the name of the customer. If the customer's name is already in the addressbook, she is informed about this and can choose if she wants to transfer his data or if she wants to create a new contact. She can then edit the customer data by clicking on the contact note.
During the call she mostly concentrates on the conversation. She writes down notes about important details, each on a line. Later, she can move them around like she wants to. Informations she writes down include quotes of the caller, things that come to her mind while the caller is talking, tasks that evolve from the call, contact infos like phone numbers, mail, web or post addresses, names of persons that have to be further contacted (e. g., co-workers).
After the call, Sophie often creates new tasks in the task manager for herself (e. g., "sign that contract", or "solve customer X's problem") by marking the note and turning it into a task item. By editing the to-do item, she can specify further options like due dates etc. She also can assign tasks to co-workers via the office server from BasKet. Sometimes she also sends the whole phone notice to co-workers after adding some further notes in the e-mail, or she transfers ideas to the intranet wiki by dragging text into the edit field of the wiki.
After she has "post-processed" her phone note, she rarely ever looks at it again later, because she has transferred the important data to other applications. To let old notes stay out of her way, she has configured the phone note basket so it automatically hides phone notes baskets older than two weeks. Sometimes she also prints the basket and takes the printout to a meeting.
When she knows there has been a call from a customer, but doesn't know exactly when it was, she either uses the search function or she uses the addressbook to jump from an address directly to a list of baskets that contain the address. The same for tasks: in the task planner, she can jump to the basket it is contained in. From time to time, she cleans up her archive because she doesn't need the old notes anymore.
